Privacy Policy

SampleKaro ("we", "us", "our") operates samplekaro.com — both the public website and the signed-in workspace where brands upload tech packs, receive quotes, and track sampling and production. This policy explains what we collect, why, where it is stored, and what you can ask us to do about it.

It applies to visitors to our website and to account holders using the workspace. By using either, you agree to this policy.

1. Information we collect

• Enquiry details — name, phone number, email address, the kind of brand you run, and what you are interested in, when you use our contact form or message us on WhatsApp.
• Account information — your name, email address, a securely hashed password, your brand or company name, your role within that brand, and business details you choose to add such as billing addresses and GSTIN.
• Your project files and specifications — tech packs, sketches, reference images, measurement charts, quantities, fabric and trim choices, and any notes you provide so we can review, quote, and manufacture. We treat these as confidential business information, not merely as personal data. See section 4.
• Order and transaction records — quotes, invoices, payment status, order milestones, alterations, and delivery details.
• Payment information — card and banking details are entered directly with our payment provider and are never stored on our systems. We keep only the provider's payment reference, the amount, and whether it succeeded.
• Technical and usage information — IP address, browser and device type, pages visited, and error diagnostics, used to keep the service running, secure, and reasonably fast.
• Security records — sign-in attempts and session records, kept to detect and slow down attacks on your account.

2. How we use your information

• To create and operate your account and workspace.
• To review your specifications, prepare quotes, and manufacture your samples and production orders.
• To raise invoices, take payments, and keep accounting records.
• To send you service messages about quotes, payments, and shipments, and to respond when you contact us.
• To keep the platform secure and to investigate misuse.
• To meet legal, tax, and regulatory obligations.

We do not sell your personal information, and we do not use your designs or specifications to train machine learning models.

3. The legal basis for using your information

We process your information because it is necessary to perform our contract with you, to comply with our legal obligations, and for our legitimate interests in operating and securing the service. Where the law requires consent — for example certain analytics — we ask for it, and you can withdraw it.

4. Your designs and specifications

Your designs remain yours. Uploading a tech pack to SampleKaro does not transfer any ownership to us. We use your files only to quote and produce the work you have asked for, and for no other purpose. We do not share them with other customers, we do not use them in our own products, and we do not use them to train AI models.

How your files are protected, in concrete terms:

• Files are held in private storage. They are not reachable by URL alone, even if a link is guessed or forwarded.
• Every request to view a file passes through an authenticated route that checks, against our database, that the requester belongs to the brand that owns it.
• SampleKaro staff reach files through a separate, access-controlled route, and only to carry out the work on your order.
• Actions taken on your account and orders are recorded, so there is a trail of who did what and when.

Where producing your order requires a manufacturing partner to see part of your specification, we share only what that partner needs, and they are subject to confidentiality obligations. Our Terms of Service set out the full commitment.

5. Where your information is stored, and who processes it

We use established service providers to run the platform. Each is bound to process information only on our instructions:

• Hosting and file storage — Vercel Inc., which serves our application and stores uploaded files. Our application is configured to run primarily from a region in India.
• Database — Neon Inc., which hosts the database holding your account, order, and invoice records.
• Payments — Razorpay, which processes payments and handles your payment credentials directly.
• Email — Resend, which delivers service emails such as quote and payment notifications.
• Diagnostics and analytics — Sentry for error monitoring and Vercel Analytics for aggregate traffic measurement.

Some of these providers operate infrastructure outside India. Where information is transferred across borders, we rely on the provider's contractual data protection commitments. Write to us if you would like the current list of providers.

6. Artificial intelligence

We use AI tools to help draft material for our own blog. Those tools do not receive your designs, tech packs, order details, or personal information.

If we ever introduce a feature that would send your files or specifications to a third-party AI service, we will tell you clearly beforehand and ask for your explicit permission for that feature. We will not do it quietly.

7. When we share information

• Manufacturing partners — the minimum needed to sample or produce your order, under confidentiality obligations.
• Service providers — as listed in section 5, to run the platform on our behalf.
• Logistics providers — delivery addresses and package details, so your order can reach you.
• Professional advisers and authorities — where required by law, or to establish or defend legal claims.

We do not sell or rent your information to anyone.

8. WhatsApp and other communications

Our contact form opens WhatsApp with a pre-filled message from your own account; nothing is sent until you press send. Conversations on WhatsApp are also governed by WhatsApp's own terms and privacy policy. Service emails about your orders are part of the service and are not marketing; you can ask us to stop sending anything promotional at any time.

9. Cookies

We use cookies that are necessary for the service to work — keeping you signed in, and remembering your light or dark theme — and basic analytics to understand traffic in aggregate. Blocking cookies still lets you read the website, but you will not be able to stay signed in to the workspace.

10. How long we keep information

• Account and order records — while your account is active, and afterwards for as long as we must keep business, tax, and accounting records under Indian law.
• Your uploaded files — for the life of your account, so you can return to past work. You can ask us to delete specific files or all of them.
• Security and diagnostic records — for a short period, then deleted.

11. Security

We use encrypted connections, hashed passwords, server-side sessions that can be revoked, ownership checks on every file request, rate limiting on sign-in, and reputable infrastructure providers. No system is perfectly secure, but if a breach affects your information we will tell you and the relevant authority as the law requires.

12. Your rights

You can ask us to give you a copy of your information, correct it, delete it, or stop using it for a particular purpose. You can withdraw consent where we relied on it, and nominate someone to exercise your rights on your behalf. Write to support@samplekaro.com and we will respond within the timelines required by applicable law, including India's Digital Personal Data Protection Act, 2023.

If you are in the United Kingdom or the European Economic Area, additional rights may apply to you, including the right to complain to your local data protection authority.

13. Children

SampleKaro is a service for businesses and is not intended for anyone under 18. We do not knowingly collect information from children.

14. Changes to this policy

We may update this policy. The "last updated" date above reflects the current version, and we will tell account holders directly about changes that materially affect them.
